Create and manage bookings

Create a booking

Select an available time in the day or week view. You can also drag across a range of cells when drag selection is enabled.

Complete the booking form:

  • title or brief description;
  • start and end date and time;
  • room;
  • booking type;
  • description and any custom fields; and
  • privacy, confirmation, or registration options when enabled.

Save the booking. MRBS checks the request against existing bookings and the area's booking policy before writing it to the database.

Tip

If several users try to reserve the same room and time, the first valid booking saved wins. Later conflicting requests are rejected.

Edit a booking

Open the booking and choose the edit action. A normal user can generally edit their own bookings; administrators can manage other users' bookings unless site policy restricts them.

Changing the room, date, or duration causes MRBS to check conflicts and policy again.

Delete a booking

Open the booking and choose delete. You normally need to be:

  • the user who created the booking;
  • a booking administrator for the area or room; or
  • a system administrator.

Deleting a recurring booking may offer a choice between one occurrence and the complete series. Review the confirmation carefully.

Private bookings

When private bookings are enabled, details can be hidden from users who are neither the creator nor an administrator. The calendar can still show that the time is occupied.

Privacy behavior is configured per area and can be mandatory, optional, or overridden for specific users.

Approval and confirmation

Areas can require booking approval. A pending booking is recorded but remains subject to approval by the responsible administrator.

Confirmation is a separate feature. Depending on configuration, users may be asked to confirm a booking or administrators may send reminders.

Registration

When registration is enabled, a booking can accept attendees up to a configured limit and within an optional registration window. The booking creator and administrators control whether registrations are visible and who can register other users.
